ChatGPT does not mention a company for one of seven reasons, and most companies have two or three at once. The first two, a blocked crawler and pages missing from the search index ChatGPT uses, take minutes to check and are the ones most often missed. The largest is usually being absent from the directories and roundups it reads.

Usually one of seven reasons: ChatGPT's search crawler cannot reach your site; your pages are not in the search index it draws on; you are missing from the directories, roundups and review sites it cites for your category; your name and details differ from place to place; your site describes you in your own jargon rather than the words a buyer types; your pages contain nothing specific enough to quote; or the test question did not match how buyers ask. Most companies have two or three at once.
The order matters because the early causes make the later ones irrelevant. A company whose firewall turns away ChatGPT's crawler will not be cited however good its pages are, so that check comes first. A company that is reachable and indexed but appears in none of the sources ChatGPT reads for its category has a different and larger job, which no change to its own website will finish.
Each of the seven can be checked in under an hour without any tool: read your robots.txt, add the site to Bing Webmaster Tools, ask ChatGPT the buyer's question and list the sources it cites, compare your details across those sources, read your homepage headline as a buyer would, look for one quotable figure on each service page, and repeat the question ten ways before drawing a conclusion.

Yes, and it is common. OpenAI uses separate crawlers: OAI-SearchBot for ChatGPT search, GPTBot for training, and ChatGPT-User for pages a user asks it to open. A robots.txt rule written to stop AI training often blocks all three. Separately, firewall and bot-protection services can refuse automated visitors with an error or a challenge page, which shuts ChatGPT out even when robots.txt allows it.
We have seen this pattern in our own measurements. One company in August 2026 was named 44 times in ChatGPT and twice in Google AI Overviews in the same week, because its server returned an HTTP 406 to Google's crawler while ChatGPT drew on other sources. The same kind of server rule, pointed the other way, removes a company from ChatGPT search. The fix is usually one line in robots.txt or one setting in the firewall, and a developer can make it in an afternoon.
OpenAI says ChatGPT search uses third-party search providers alongside its own crawler, and Microsoft Bing was reported as one of them at launch. A site Bing has not indexed is a site ChatGPT search has fewer ways to find. Bing Webmaster Tools is free.
Because your competitor appears in more of the places ChatGPT reads. When asked who provides a service, ChatGPT leans on directories, industry roundups, review profiles and trade press as much as on company websites. In one industrial category we measured in October 2026, about a third of its sources were company sites. A competitor listed in five of those sources, with the same name and category each time, gets named. A company with a better website listed in none of them does not.
This is the part most companies find frustrating, because it is not under their direct control. It is under the control of directory editors, trade publications and people writing "best of" lists. The work is finding which of those sources ChatGPT cites for your category, which you do by asking it, and then being present in each with consistent details. It depends on which cause applies. A blocked crawler, once fixed, can change what ChatGPT search finds within weeks, as it recrawls. Rewriting pages in the buyer's words and adding quotable specifics takes effect as those pages are recrawled and ranked. Getting into the directories and roundups ChatGPT cites takes longest, often months, because it depends on other people's publishing schedules.
